The coronavirus (COVID-19) pandemic is affecting billions of people worldwide, forcing us collectively to implement far-reaching health and safety measures and a complete reassessment.
At MAES Civil-Law Notaries, everything revolves around people. This means we take no risks with regard to the health and well-being of our employees, our clients, their families, and the community we are all part of. We will always follow the guidelines of the RIVM (National Institute for Public Health and the Environment) and the government.
We have taken the following measures:
1. Our office remains open.
2. Due to social distancing policies, several MAES civil-law notaries are working from home until at least April 6th. We are fortunate enough to be able to accommodate our remote employees with the necessary secure facilities. They are available by email and phone, and we can continue to guarantee the confidentiality and integrity of our services. Under these circumstances, our service level may be slightly lower than you are used to in the coming period, but you may not notice anything.
3. We have taken precautionary measures for all visitors and employees who need to be in the office. Due to the exceptional circumstances, we can handle the identification of persons and the execution of deeds practically, creatively, and in accordance with our social responsibility, without the parties having to appear before the notary in the office. The Royal Dutch Association of Civil-Law Notaries (KNB) takes the position that notaries must be able to use digital and audiovisual resources to enable COVID-19 patients to make a will. The law allows notaries this option in exceptional circumstances, provided they provide a clear explanation in their file as to why they have done so. We can advise and inform you further on this in your specific case. Therefore, don't simply postpone the signing of your deed; arrange your affairs with us.
4. In-person meetings are canceled or held via telephone or videoconferencing. The signing (passing) of deeds will continue.
5. To keep the number of attendees at the signing as limited as possible, we urge you to only visit our office if you have an actual role in this meeting.
6. Please bring your own pen to sign the documents.
7. The deeds will be reviewed with you in a more businesslike and concise manner, so that the signing process will take less time.
8. Avoid waiting times in the waiting room, arrive on time and wait outside or in your car if you are early.
9. Maintain a distance of 1.5 meters from each other during your visit to our office, follow the guidelines of the RIVM (National Institute for Public Health and the Environment) and the government, and our instructions.
10. If you have symptoms such as a dry cough, fever, cold, or nausea, do not come to the office, but contact us by phone.
